Sellers FAQs
Q: Do other users of Vintrade see my identity?
A: No. At no stage in the Vintrade process does the buyer see who they are dealing with. However, you, as the seller, will be emailed requests for samples, so you will be sending samples to them. So if you wish to remain anonymous, you should not have any identifying features in your courier pack to the buyer requesting the sample (such as sender’s name, a branded screwcap etc).
Q: Is there any charge for selling my goods?
A: If you are a Wineworks Client, it is free. Wineworks primary goal is to be a useful partner to its customers. VinTrade is an example of this. There may be a charge at some stage in the future, but it will be minimal.
Q: When does the auction end?
A: when listing an item for sale, the default time for ending is set at 3pm, but you may set any time that you choose. We suggest it is during commercial hours.
Note: The auction will not auto-extend if there is a late flurry of bids. Whatever is the highest bid at the time you set the finish time will become the winner of your auction. We encourage the buyers to place their highest bid well before the auction closes, to ensure it is processed by our servers.
Q: What certificates do I need to sell my wine?
A: You should attach a Statutory Declaration to each bulk wine listing, or Cleanskin listing, detailing composition of the wine, and SWNZ compliance, perhaps also detailing spray diary availability etc. Note that you can attach a Stat. Dec. after listing your auction, or send one to the buyer after he has bought your wine. Here is an example of a Stat. Dec.
Finding a wide market, and complying with all of a buyer's requirements for your wine is not always easy. There are brokers who we work with to ensure that your sale process is compliant and you have reached as large a market as you possibly can. Note that fees are typically applied. If your needs are more complex for a particular sale than VinTrade can handle with its simple auction model, then click here to find contact details for Karryn Bish or George Elworthy, who we use to carry out these extra little details well.
Q: Can I have more than one user in my company?
A: No. So be careful who you give your password to.
Q: Do I have to provide samples?
A: No. You could receive any number of sample requests, and may choose not to respond to all requests. Note that if sample requests are getting out of control, and you have instructed Wineworks to despatch samples for you (by ticking the 'despatch samples from Wineworks' tickbox when you listed the item), you will need to instruct Wineworks which samples to despatch.
If you do supply samples,Vintrade recommends that you send one of whatever Dry Good item it is, one bottle of the cleanskins, or if bulk wine, a 750ml bottle, sealed with a screwcap. (If you need a dozen bottles with screw-on caps, Rachael at Wineworks can send you some.
Q: My Dry Goods and Cleanskins are held at Wineworks, and I would like to despatch directly from there
A: When you list your item, all requests for samples will be sent to the email address specified in your My Vintrade Account. There is a tick-box that can be ticked at the time of listing that allows you to despatch Samples from Wineworks. This means that when a potential buyer asks for a sample, the request will be sent to Wineworks (and cc’d to you), and will be actioned by the Wineworks team. So you do not have to do a thing. (But normal Wineworks despatch charges will apply).
Q: What if I don’t have a lab analysis of my wine?
A: The more the buyer knows about the wine, the more comfortable he will be to buy it. We suggest that you add whatever you know about the TA, pH, RS, VA, Alc/Vol, time in oak, etc. There are two ways to let potential buyers know what chemical properties your wine has: When listing the wine, either write it in the Description, or you can attach a lab analysis. This lab analysis should be in the form of a Word document or pdf document, and be less in size than 32MB. If you do not have an analysis, VinTrade suggests you put whatever info you have into either of these two spots.
Q: Why can't I edit my listing?
A: After the first bid has been placed, your bid cannot be edited. If yoou need to informpotential buyers about something to do with the item, then use the 'Add Seller Comment' button.
Q: I've got another offer, or blended the wine away. I now want to withdraw the lot for sale?
A: a) If your item has not received any bids, or the bids are below the reserve you have set, no problem - you can delete the listing. Go to the listing, click the 'Edit' tab at the top, then scroll to the bottom where you will find a delete button
b) If your reserve has been reached, you must complete the sale - this is part of the Terms and Conditions that you agreed to. It may well be that as the auction progresses, the bid goes even higher, and may exceed your expectations.
c) If a 'Buy Now' bid was made, your item is legally sold, and if paid, you must deliver the goods, as you agreed in your Terms & Conditions.
Q: I have labelled bottles for sale, can I sell them as cleanskins on Vintrade?
A: Not yet, but WW plans to offer a service that allows you to offer them for sale as cleanskins. This service will strip labels and replace screwcaps if need be. When this iservice is introduced, you will tick a box that instructs us to strip a case to use as samples for despatch, and we will then automaticaly quote you a price to convert this stock to cleanskin if it is successfully sold. If you are interested in this functionality on Vintrade click here to email us.
Q: What taxes should I include in the price?
A: All prices quoted in Vintrade should be exclusive of Excise, ALAC and GST. When your goods are sold, an email is automatically sent to the buyer, and GST will be added to the amount sold, as this is a business-to-business website. If the buyer is not transferring the goods to his Customs-Controlled Area, then you may need to add excise. All successful bidders are warned that excise may apply. It is your rresponsibility (as the Seller) to determine if the successful buyer is registered for excise and you are transferring to a Customs-Controlled Area. You should send them an invoice that reflects that. Also note that of course you do not send the goods until you are satisfied that you have been paid in full.
